Performs a variety of accounting activities related to the payment and receipt of money; computes, classifies, and records numerical data into ASM Global’s accounting systems. Applies a working knowledge of applicable laws and regulations. Work involves processing, distribution and maintenance of invoices and payments, and financial forms processing. This position requires effective communication with colleagues, vendors and other appropriate third parties. ESSENTIAL RESPONSIBILITES Accounting Receives and verifies accuracy of invoices, check requests, and expense reports, receipts. Maintains and verifies accuracy of vendor records including, verifying vendor information, W-9’s and federal tax forms. Verifies approval signatures on all invoices, check requests, and expense reports, follows up to obtain any missing approvals. Validates expense reports to meet documentation requirements. Enters invoices/expense reports and verifies accurate coding, records details on appropriate forms and attaches appropriate forms to invoices. Utilizes check printing, approval and filing procedures as required for weekly check run, check requests and manual checks. Verifies check accuracy. Assembles checks and backup for mailing; records check numbers in the check log; processes signed checks including verification of signatures. Ensures delivery of checks awaiting hand delivery and mailing to appropriate locations. Maintain GL, AP and AR files as described in departmental procedures or as instructed. Responds to all inquiries regarding accounts payable and accounts receivable. Assembles select for payment report and invoices for review and approval. Prints and Mails Invoices and Statements. Monitors aged accounts receivable and makes phone calls, sends letters as described in collection procedures. Prepares collection files for Accounting Manager when necessary. Monitors and tracks all vendor contracts and insurance requirements. Tracks Electrical contracts, licenses and insurance. Monitors new contracts for VIC / Tourism Advertising. Assists in writing Finance Manual, specifically Standard Operating Procedures for items completed by position. Tracks progress of all deposits due as provided by contract including catering deposits and facility rental deposits. Tracks client insurance compliance as provided by contract. Submits change order requests to bank. Other Promotes and ASM Global’s goals and brand promise. Participates in safety programs to achieve safety goals. Assists the department and organization with various projects and special assignments as needed. Performs other assigned duties as required. Education: Two years college level business classes including accounting or finance courses, however any combination of education and work experience providing the required abilities and knowledge for successful performance is acceptable. Experience: Two years experience working in either an accounting or bookkeeping roll. Skills and Abilities: Knowledge of professional business procedures, etiquette and practices Correct English usage and basic math skills Business letter and report writing, record keeping principles and procedures; telephone techniques General financial accounting and bookkeeping principles Excellent customer service and public relations skills Physical Demands (The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
